The Team Managers Hub is our central location for logistics, compliance and key competition dates.

YOUR ROLE AS TEAM MANAGER

Team Managers are the backbone of our off-court operations. Your primary responsibilities include:

  • Communication: Create a team WhatsApp group. Share game and training schedules, venue updates with families.

  • Scoring: Organise and managing the weekly scoring roster.

  • Player Attendance: Ensuring the team has as many players as possible available for a game. Please coordinate this with the team coach.

FIXTURES & GAME TIMES

Game fixtures can be viewed via PlayHQ or the MyHoops smartphone app.

Please send out game time and venue details to your team WhatsApp group when they are published.

Please note: Game times can sometimes change, especially in the first few weeks of grading. We recommend checking for changes to game times and venues regulary.

REGISTRATION

(MANDATORY)

Coaches and Team Managers are required to register via PlayHQ prior to Round 1 to ensure insurance coverage and court access.

COMPLIANCE & SAFETY

(MANDATORY)

We are committed to providing a safe, inclusive environment for all our junior athletes. To meet our legal and sporting association requirements, all volunteers (Coaches and Team Managers) must complete the following prior to Round 1:

Working with Children Check (WWCC)

All volunteers must hold a valid WWCC. Please ensure your details are updated in our system during registration.

MEBA Compliance

All officials must adhere to the latest MEBA conduct and safety bylaws. If you have previously completed these steps, please simply provide a copy of your existing records.

  1. Member Protection Declaration

  2. Behavioural Framework Acknowledgement

  3. Sports Integrity Australia Safeguarding Children and Young People in Sport Induction course. This is a mandatory MEBA competition requirement. Click here to access the course. After completing the course, please click here to upload your certificate via MEBA’s internal collection form.

PLEASE NOTE: YOU ONLY HAVE TO DO THE COURSE ONCE. If you did the course last season, simply download your existing certificate and upload it HERE.

Training Supervision

In accordance with safety compliance requirements, all training sessions must have always at least two adults present. This includes the coach and at least one supervising parent.

UNIFORMS

Playing uniforms and other club merchandise is available to purchase from Bronx Australia’s online store.

All new players must order a uniform immediately after registering to play. Our uniforms are made to order with a 5-week lead time. To be able to participate, ALL players need a playing singlet and playing shorts as a minimum. 

New players will be allocated a number. There is no ability to choose a playing number. For all new players (i.e. those that have not yet been allocated a playing number) please leave the number section blank when ordering.

Please note - We do not hold stock of playing uniforms for players to borrow.  

Players who already have a singlet number and are looking to purchase new uniform items should enter their current singlet number when ordering.

If two players on your team have the same singlet number, please notify our Uniform Coordinator at uniforms@waverleybasketball.net as soon as possible. The longest-serving player retains their number, and the newer player will be issued a replacement.

SCORING

One parent/carer from each team is required to score at every game. It is the responsibility of the Team Manager arrange a scorer for each game.

It is recommended Team Managers create and share a scoring roster, rotating through parents/carers each week. Please remind the scheduled scorer in the week prior to the game. This reminder is commonly sent by the Team Manager along with the week’s game details.

Scorers will either perform the Electronic Scoring on the supplied iPad, or operate the stadium score display (known as The Buttons).

PLAYER FILL-IN RULES & ELIGIBILITY

To ensure games proceed without forfeits while maintaining fair competition, the following rules apply to all “fill-in” players as per the latest MEBA By-Laws.

General Eligibility

Club Source: Fill-in players must be sourced from within your own club.

Player Limit: You may only use fill-ins if you have 5 or fewer regular players. You can only use fill-ins to bring your total team number up to 6 players.

Registration: A player can fill in for a maximum of 3 games. On the 4th game, they must be fully registered with the club/team to remain eligible.

The “Fill-In Matrix” (Age & Grade)

Documentation & Penalties

Scoring System: Fill-ins must be added to the electronic scoring system (PlayHQ) before the game starts.

Ineligible Players: Using a player who does not meet the Matrix criteria or has exceeded 3 games without registration will result in a forfeit (10-0 loss) and potential fines.

TEAMPAY: FORFEITS & WALKOVERS

Teampay is the mandatory platform used by the association to manage game walkovers. Every Team Manager must create an account and connect to their team each season. You will need a ‘team code’ to link your team. Please reach out to your nominated Age Group Coordinator to get the code before you connect your team.

If your team cannot field at least 4 players, you must lodge a forfeit.

  • Forfeit Fee: A walkover fee of $150 applies.

  • Payment: This fee must be collected from your team members and paid via the Teampay app.

  • Notifications: You will receive official walkover notifications through the app.

Even if you don’t plan on missing a game, you must be set up before the season starts.
