Duty of care for Melbourne East Basketball Association Inc
All junior and senior matches Monday-Sunday
Heat Rule to be implemented when a court temperature at a venue reaches 32 degrees.
The Competition Manager must be called prior to the supervisor making this decision.
a - Effective from the start of the first game through to the end of the last game the following timing rules will apply at ALL VENUES regardless of the temperature in those venues
i - 4 x 8 minute quarters will be played
ii - 1 time out per team per quarter
iii - The clock does not stop during these timeouts
iv - 1 minute break at quarter and three quarter time
v - 2 minute break at half time
vi - Team fouls remain calculated per half
vii - No time outs in the last 2 minutes of the first half
viii - Clock stops on all whistles in the last 2 minutes of the 4th quarter
Games abandoned when the court temperature at that venue reaches 38 degrees.
The Competitions Manager must be called prior to the supervisor making this decision.
a - If a game is abandoned before it commences or before or at half time the match will be counted as a 2-2 draw.
b - If a game is abandoned after half time, the match score stands as a final result.
NOTE: The Thermometer must be situated at the score table at all times for temperature reading purposes.

At Waverley Basketball Club, we are committed to providing a positive and engaging basketball experience. The Refund Policy outlines the procedures for requesting a refund and the terms under which refunds may be issued.
Please read the following guidelines carefully:
1. Cancellations by Participant
After Season Start
No refunds will be issued once the season or competition has commenced, except under exceptional circumstances (e.g., medical reasons with a valid doctor’s certificate).
Non-attendance
Failure to attend games or programs without prior notification will not be eligible for a refund.
2. Cancellations by the Club
Program/Season Cancellation
If the event, program, or season is cancelled by the club, participants will receive a full refund or the option to transfer their registration to another available season or program.
3. Withdrawal Due to Injury or Medical Reasons
Medical Withdrawal
Participants who need to withdraw due to injury or illness may apply for a refund. A doctor’s certificate must be provided, and refunds will be subject to the committee's discretion based on the timing of the withdrawal and the circumstances.
4. Special Circumstances
Exceptional Circumstances:
Requests for refunds due to exceptional circumstances will be considered on a case-by-case basis. Please contact us with any relevant documentation to support your request (e.g., family emergency, relocation).
5. How to Apply for a Refund
To request a refund, please follow these steps:
1. Contact the Treasurer, Sharna Smith, via email at treasurer@waverleybasketball.net
2. Provide the following information in your email:
Your full name
The reason for the refund request
Any relevant documentation (e.g., doctor’s certificate, proof of relocation)
3. Refund requests must be submitted in writing via email for consideration.
6. Processing Times
Refund requests will be reviewed, and approved refunds will be processed within 14 business days from the date of approval. Refunds will be issued via the same payment method used during registration, unless otherwise agreed.
7. Non-refundable Fees
Please note that the following fees are non-refundable:
Basketball Victoria Annual Participant Licence Fee (for players)
Basketball Australia Participant Fee (Game Development Levy)
Uniform costs
8. Amendments to the Refund Policy
Waverley Basketball Club reserves the right to modify or amend this Refund Policy at any time. Any changes will be communicated to all members via our social media accounts and posted on our website.

Terms & Conditions of Registration at Waverley Basketball Club
By registering your child/children with Waverley Basketball Club, you agree to the following conditions:
Parental Involvement
As part of your registration, it is expected that a parent or guardian will actively participate in team duties, including scoring when rostered and contribute to the club in a volunteer capacity such as Team Manager, Coach, or Committee Member if needed. Please note: Teams may be withdrawn from competition if there is insufficient parental or guardian support in these roles so a team can function.
Forfeits
If a team forfeits a scheduled game, the team will be responsible for covering any associated penalty fees.
Withdrawal Administration Fee
A non-refundable administration fee of $50.00 will apply to any registration that is withdrawn more than five (5) days after the registration period has officially closed.
Medical Information and Supervision
Waverley Basketball Club does not share medical details, allergy information or specific support needs with Coaches or Team Managers. It is the responsibility of parents/guardians to supervise their child/children at all games and training sessions and communicate any medical details if needed. In the case of injury or accident, if a parent/guardian is not present and cannot be contacted, permission is given for the player to receive necessary medical or surgical treatment. Parents/guardians accept responsibility for any costs incurred and agree not to hold Waverley Basketball Club liable for any resulting damages.

Use of Personal Information
Personal information collected during registration will only be used for player registration with MEBA and for internal club operations, such as team communications. Your email and contact details may be shared with Coaches, Team Managers and Club Officials solely for club-related communication. If you have concerns about your privacy or wish to verify information we have on record, please contact our Registrar at registrar@waverleybasketball.net.

When the forecasted temperature is to be 35 degrees or above as per the Bureau of Meterology Melbourne forcast at 6:00pm the day prior a scheduled training session, ALL scheduled training sessions that day are to be cancelled.
Waverley Basketball Club will communicate cancellations via the club’s social media (Facebook & Instagram).
